Match partner data to your records
Map buyer SKUs, ship-to codes, and units to the right records before processing orders.
Expertise:
The problem
QuickBooks + EDI gets complicated at the handoffs: where a buyer's SKU becomes a product, where an order becomes a shipment, and where a failed update becomes someone's responsibility.
Map buyer SKUs, ship-to codes, and units to the right records before processing orders.
Define who owns orders, fulfillment, and invoicing so updates stay consistent across systems.
A delivered file can still fail processing. Track exceptions and recover without duplicate records.
How it works
For growing suppliers, distributors, and ecommerce businesses that use QuickBooks for financial records and a separate order or fulfillment system for operations. We begin by distinguishing QuickBooks Online from Desktop and confirming the edition, region, and available integration methods.

Validation & mapping
Order-management system
Warehouse / WMS / 3PL
Shipment notice to the buyer
QuickBooks → trading partner
Every document is validated, tracked and tied back to the business transaction.
QuickBooks supplies financial records; the operational system owns the order.
QuickBooks Online and QuickBooks Desktop need different technical designs. Online uses its accounting API for supported records. Desktop integration may use the SDK and Web Connector in the customer's Windows environment. We review the installed product, supported objects, access arrangements, and synchronization schedule before confirming scope; one generic connector should not be assumed to cover both.

01 / Buyer → supplier
Purchase Order
What does the buyer need?
Order source + supported financial records
Determine where the incoming purchase order should become an operational order. Map supported QuickBooks records only after confirming edition and API coverage.
02 / Supplier → buyer
Purchase Order Acknowledgment
What can you supply, and when?
Order acceptance source
Obtain acceptance and supply commitments from the operational owner, rather than infer acceptance from a customer or invoice record.
03 / Supplier → buyer
Advance Ship Notice
What shipped, and how is it packed?
Warehouse or shipping system
Source actual shipment, packing, and tracking data from the system that manages fulfillment; correlate it with the retailer PO and accounting references.
04 / Supplier → buyer
Invoice
What is the buyer being charged?
QuickBooks invoice
Map approved invoice data to the partner's EDI requirements, including customer references, lines, charges, tax treatment, and totals.
05 / Buyer → supplier
Payment / Remittance
Which invoices does the remittance cover?
Finance reconciliation + application visibility
Match retailer remittance references, invoice amounts, and deductions to approved finance records. Define how QuickBooks receives reconciliation status; a remittance message alone does not establish payment settlement.
The business journey is shown in sequence; actual timing follows the partner agreement. An EDI 820 carries payment instructions or remittance information. Payment execution and settlement are confirmed through the agreed finance and banking process.
Technical acknowledgment tracking
Link functional acknowledgment status to the original EDI interchange. Keep technical acceptance separate from order acceptance and application processing.
Additional scope can include 860 order changes, 940 warehouse shipping orders, 945 shipping advice, or EDIFACT equivalents. A technical acknowledgment is separate from a commercial acceptance. Documents and directions are agreed for each partner.
QuickBooks workflows
Example journey
Keep the operational order linked to its customer, items, and accounting references.
Use confirmed quantities, packing, and tracking data to prepare the shipment notice.
Send the approved invoice with its original PO and shipment references intact.
Illustrative workflow; records depend on your edition and configuration.
Confirm Online or Desktop before choosing the interface and deployment approach.
Connect warehouse shipment data with the approved QuickBooks invoice.
Resolve customer and item references before posting financial records.
Control invoice corrections and retries to prevent duplicate accounting entries.
EDI failure & recovery
Recovery is part of the integration design. We define how to locate the failure, correct the cause, resume processing, and verify the result across EDI, QuickBooks, and the systems downstream.
Track document receipt, validation, application processing, and partner acknowledgment separately. Surface the failed stage, affected order line, and source error instead of showing one ambiguous success flag.
Route mapping issues, application validation errors, and warehouse exceptions to the right owner. Keep partner control references, record IDs, timestamps, and the required correction together.
Check whether the destination already committed a record before retrying. Preserve the original correlation reference, retry only the appropriate stage, and require review when the outcome is uncertain.
Confirm that source and destination records agree and that the required downstream messages completed. Record the correction and recovery result so operations can explain what happened later.
A timeout does not prove the write failed. Check the original external reference and the supported QuickBooks record state before retrying. If the agreed invoice record exists, resume from the next incomplete stage. If it does not, a controlled retry can proceed. Uncertain matches go to review. Edition-specific permissions and posting rules govern any correction.

Frequently asked questions
No. They have different APIs, deployment requirements, and supported record workflows. We confirm the exact product and edition before selecting the integration method.
We do not assume it can. Retailer ASNs may require packing and logistics information from a WMS, 3PL, or shipping application. That source must be included in the integration scope.
Yes, subject to the provider's interfaces and the supported QuickBooks workflow. We can scope the accounting connection while the existing provider continues to handle EDI transport and partner mapping.
The agreed scope covers discovery, source-to-target mapping, connectivity, validation, exception handling, end-to-end testing, and go-live support. Deliverables identify the trading partners, document types, application records, and any ERP or warehouse changes required. Ongoing support responsibilities are agreed separately.
Timing depends on partner testing windows, document complexity, master-data readiness, interface access, and application changes. After discovery, we provide a dated plan with dependencies and acceptance criteria rather than promise one timeline for every project.
We assess the existing provider's interfaces, mapping ownership, transport agreements, and support responsibilities. The project can focus on the application connection where suitable. If migration is needed, we plan partner testing, reconciliation, and cutover explicitly.
Scope is driven by the number of partners and document maps, application interfaces, custom fields, warehouse dependencies, environments, and support requirements. We separate implementation work from any recurring service, transport, or third-party licensing costs in the proposal.
Bring your trading partners, QuickBooks setup, and the workflow that needs attention. We will help define the integration scope, demonstrate the relevant EDI platform workflow, and plan the next step.
